Manual for Organizing an International Workshop

Last October, the Luxe Talent and Retail Academy teams had the opportunity to reunite in Italy for our 2024 Workshop. An experience that not only created memorable memories but also provided valuable lessons.

Considering the success of this activity, we spoke with Mariona Grau, HR Executive and organizer of the international workshop. In this article, Mariona shares some tips and a detailed guide so that you, too, can organize your own workshop in just 3 steps!

What is exactly a workshop?

A Workshop is a format that allows participants not only to learn but also to exchange ideas, collaborate on projects, and strengthen bonds in a much closer way. At Luxe Talent, we view the Workshop not only as a collaborative workspace but also as a gathering for teams that are typically geographically dispersed.

How can a workshop benefit your company? 

  1. Strengthening bonds among employees, which is crucial in an environment where remote work has become prominent. 
  2. Enhancing creativity and conflict resolution, especially with activities carried out outside of usual work teams.
  3. Positive impact on team motivation and commitment both towards the business goals and the corporation itself. 

How to organize an international workshop?

 

1. What do I need to do before the workshop? 

  1. Consider the goals to be achieved in this particular edition. This will define our mission, which will be key in specifying our vision for it. 
  2. Develop a detailed program that guides each day of the workshop, ensuring a good mix of formal and informal activities. 
  3. Choose the destination. Accessibility is crucial: it should be a place where participants can easily arrive, taking into account the available budget and associated costs such as transportation and accommodation. 
  4. Ensure that the selected venue has the appropriate infrastructure, such as fully equipped conference rooms and additional services like catering or team-building activities. 
  5. Logistics is one of the organizational aspects that will require the most time. It is necessary to coordinate transportation bookings as well as onsite suppliers at the event. Good logistical organization tailored to the needs of all attendees will be key.
  6. Maintain good communication with participants before the workshop to create clear expectations. Send invitations with precise information, along with a detailed program. 

2. And during the Workshop? 

  1. It is essential to ensure that everything goes according to plan, respecting the established program while maintaining a degree of flexibility to adapt to possible unforeseen circumstances. 
  2. Prioritizing the creation of an environment conducive to collaboration is fundamental: Create moments for informal exchange, such as breaks or informal social activities that allow participants to get to know each other in a more relaxed setting. 
  3. Organizing complementary activities can be an excellent way to enrich the overall workshop experience. 

3. After the Workshop 

  1. Collect feedback from participants to assess the success of the event and determine if the established goals were met. 
  2. Hold an internal meeting among the organizing team and management to review how the workshop was conducted in general: organization, budget, unforeseen events, improvement ideas, employee feedback, etc. 
  3. From an employer branding perspective, publishing content about the workshop, such as photos and testimonials, is an excellent way to promote the event and enhance the company's image.
